YOUR CHALLENGE

Office Management

  • Welcome customers, partners and interviewees and direct them to the appropriate people.
  • Organize daily office life: organize tasty and healthy lunches for our team and guests, prepare meeting rooms, small maintenance.
  • Keep the office clean, presentable, and running smoothly.
  • Establish a regular schedule for office cleaning and maintenance.
  • Manage general administration including incoming emails, scanning and filing.

Facility Management

  • Create a daily routine for office operational tasks.
  • Manage portfolio of suppliers to ensure office operations (space, waste, cleaning, maintenance, security).
  • Ensure our space and resources are utilised effectively and efficiently.
  • Manage deliveries (accept deliveries, send and post packages).
  • Design implement and monitor all safety and health regulations at our office as well as for remote workers.

Venue Management

  • Run our event venue - Spark9 - like a true startup CEO.
  • Oversee and setup all operations of the venue.
  • Manage all venue bookings and invoicing.
  • Be the perfect host to our internal and external workshops and meetings.

Team culture

  • Plan, organize and run team events both in person as remote.
  • Take initiatives to improve our company culture.

Team support

  • Schedule travel arrangements for team members.
  • Assist our project teams to prepare world class workshops (planning, printing, catering, etc.).

  • You are an energetic, hard-working, fun and a true team player.
  • You are an innovative thinker.
  • You have killer organization skills.
  • As a true juggler, you are able to hold dozens of balls up in the air at the same time.
  • You are an expert in communication and customer service. Our customers love to have meetings in our central HQ, just to experience the awesome service level.
  • You have the magic power to remember our team’s birthdays and surprise people with a personalized gift time after time.
  • Whenever you are around, our office looks great, our plants come back to life, our fridges are nicely filled, and our team members get spoiled.
  • You organize awesome (virtual) activities that truly connect people and makes us feel like a true family.
  • Fluent in writing and speaking English, Dutch and French is a plus.

YOUR BACKGROUND

  • Background in one or more of the following roles: Facility Manager, Office Manager, Event/Venue Manager.
  • Entrepreneurial background: running a business or a startup is a plus.
  • Experience finding and implementing digital technologies and processes.
